About the Role
We're looking for a highly organised and proactive Executive Assistant to join our team at Omnicom Media Group. In this role, you'll play a key part in supporting senior leadership while helping ensure the smooth day-to-day running of the office.
Working within a dynamic and fast-paced environment, you'll manage schedules, coordinate meetings and travel, and support a range of administrative and organisational activities that enable our leadership team and wider business to operate effectively. You'll also contribute to creating a positive and engaging workplace experience for both employees and visitors.
This role is ideal for someone who enjoys variety in their day, thrives in a collaborative environment, and takes pride in keeping things running seamlessly behind the scenes.
Key Responsibilities

Manage complex diaries, scheduling meetings and ensuring priorities are effectively balanced

Coordinate meetings, including preparing agendas and organising materials

Arrange travel and accommodation for senior leaders, ensuring seamless itineraries

Provide administrative support on projects, including tracking actions and preparing documentation

Act as a key point of contact between senior leadership and internal or external stakeholders

Maintain confidentiality when handling sensitive information

Assist with organising internal meetings and company events that contribute to a positive workplace culture

Support general office coordination to ensure a smooth and professional environment for staff and visitors
What We're Looking For

Proven experience in an Executive Assistant or similar administrative role

Exceptional organisational and time management skills with the ability to juggle multiple priorities

Strong written and verbal communication skills

High attention to detail and a proactive approach to problem-solving

Confidence managing senior stakeholders and building professional relationships

Proficiency in the Microsoft Office Suite

A collaborative, positive attitude and willingness to support the wider team

Ability to handle sensitive information with discretion and professionalism
